Rent tracking and receipts
Every active lease generates its own rent schedule, month after month, without you opening anything.
- A due date created automatically for each lease, each month, at the amount on the lease
- Paid, partial, late and unpaid states visible per tenant and across the whole portfolio
- One-click PDF receipt with the property address, tenant, amount and payment date
- Late-payment reminders by email, and a formal notice when a reminder is no longer enough
- Full payment history kept per tenant — no reconstructing a year from bank statements
What it does not do: Rentmark records payments; it does not hold them. Tenants pay you directly through your own payment details.
State-aware lease generator
A residential lease built from your own property, unit and tenant data, with the state-specific parts filled from a rules table covering all 50 states and DC.
- Security deposit cap and return deadline pulled from your state's statute, with the citation printed on the document
- The standard protective clauses included as a matter of course: attorney's fees, quiet enjoyment, sex offender registry notice, counterparts
- Renter's insurance requirement configurable per lease, with the minimum coverage you set
- Responsibility matrices for utilities, maintenance and keys — who does what, written down before it is disputed
- Electronic signature included, with no per-document fee
- Addendum generator for anything that changes mid-tenancy
What it does not do: A strong starting document, not a substitute for a local attorney — city ordinances add rules on top of the state.
Tenant portal
Your tenants stop texting you, because there is somewhere better to go.
- Each tenant signs in to see their lease, their balance and their next due date
- They pay through your own link — Stripe, PayPal, Zelle or your written instructions
- They report a maintenance problem with photos, and you are notified immediately
- They message you in a thread that stays attached to the tenancy
- They download their receipts and documents themselves
- Runs in any browser — nothing to install, on either side
Applications and screening records
A public application link, and one place where every applicant's file lives.
- Send an application link to anyone — details arrive structured, not as a photo of a form
- A Leads → Applicants → Tenants funnel so you know where each person stands
- Credit, background and eviction results recorded against the applicant, with documents attached
- Your approve or decline decision logged for every applicant — consistency is the legal defence
What it does not do: You record screening results; you do not order the report from inside Rentmark. The applicant runs their own check.
Move-in and move-out inspections
The deduction you will want to make in two years is won or lost on the day the tenant moves in.
- Room-by-room condition checklist for both ends of the tenancy
- Photos and notes on anything that is not in perfect condition
- The tenant co-fills the move-in inspection from their own portal, so it is not your word against theirs
- Move-out compares against move-in, side by side
- Itemized deposit settlement produced at the end, with your state's legal return deadline on it
Accounting and profitability
Which property is actually making money, answered without a spreadsheet.
- Income captured from every rent payment you record
- Expenses logged by category against a specific property
- Income by month across the portfolio, and net position per property
- Rental yield computed per property — the comparison you cannot eyeball
- CSV export shaped for an accountant or a Schedule E
What it does not do: Rental bookkeeping, deliberately — not a general ledger and not a tax filing service.
Maintenance and incidents
Every repair request in one list, with a status, instead of scattered across three messaging apps.
- Requests logged with priority and status, from you or from the tenant's portal
- A full comment thread per request, so the history survives the repair
- Instant notification when a tenant files something
- Attachments and photos on both sides
- A vacancy checklist on the property record for turnovers
Listings and Rentmark Rentals
Publish a vacant unit to a public marketplace and take applications from it.
- Photos, amenities, map and description on a public listing page
- The listing carries its own application link straight into your funnel
- Listings are indexed and shareable — you can post the link anywhere
What it does not do: No syndication to Zillow, Trulia or Apartments.com. Rentmark Rentals is its own marketplace.
Documents and forms
Everything signed, generated or uploaded, filed against the right property or tenant.
- A forms library for the documents a tenancy actually needs
- Leases, addenda, receipts, notices, inspection reports and deposit statements stored together
- Unlimited and unmetered — no per-document charge
- A shared Home Guide the tenant can read instead of calling you about the boiler
AI assistant
Ask your own portfolio a question in plain English.
- Who is late, what a property earned last year, when a lease ends — answered from your real data
- Reads only your own organization, never another landlord's
- Read-only: it answers, it never changes your records
- Dictation supported, for when typing is the slow part
Who this is built for
Rentmark is aimed squarely at the landlord with somewhere between one and forty doors, who is not a management company and does not want software designed for one. That constraint shows up everywhere in the product: a flat price instead of per-unit billing, one plan instead of tiers, and an interface you can learn in an afternoon rather than onboard onto.
If you are managing units on behalf of third-party owners, billing them per door and needing trust accounting, this is the wrong tool and we would rather say so here than after you have paid.
